Creating a Zoom meeting and adding it to the calendar

The first stage is to create the meeting on Zoom. To do this, we need to do the below.

Open Chrome and go to the Zoom.US website, click on sign in at the top right of the page, and then login with your email address and normal password for school. 

Once signed in, click on “Meetings” in the left menu, and then “schedule a new meeting”.


On this page you can give the meeting a name, date, duration. If the meeting is going to be recurring, you can also select that option and the information.

 The rest of the settings on the page should be set as default and don’t need to be changed. You can now press “save” at the bottom of the page and this will create the meeting and its unique link.


You will now see a confirmation page with the meeting summary. Click on copy invitation (on the right hand side of the page), and then press copy again. 

Now that the meeting has been created, we need to send the invitations out via email as a calendar appointment. To do this, we need to do the below.

  1. Login to emails as normal on office 365.
  2. Click on the calendar button at the bottom left of the screen.
  3. On the calendar, click a time you would like to start the meeting, and a box should appear where we can create the invitation. 
  4. Enter the title and the names of the people that a required for the meeting. Then enter the date, time and duration of the meeting. (Like below)
  5. In the description box at the bottom of the page, paste in the meeting information we copied earlier. 


Now, go back to the Zoom meeting confirmation tab on Chrome, and right click the blue “invite link” and press copy address link.

  1. Now, go back to the calendar and paste it into the “Search for a room or location” box.

 



 

  1. Now press save, and the invitation will go to the selected people. To access the meeting when it is due to start, you can click on the link in the description or the location of the invite and it should open as normal.
